Accelsure LLC (Accelsure, we, us, or our) provides a software platform and AI leadership partner for independent insurance agency owners and their authorized users. This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you visit our website, create or use an account, participate in a workspace, communicate with us, or use Accelsure.
By using Accelsure, you acknowledge the practices described in this Privacy Policy. This policy does not replace notices or consents that an employer, agency, or other organization may be required to provide to its employees, applicants, clients, or other individuals.
1. Scope and roles
This Privacy Policy applies to Accelsure's website, platform, applications, and related support communications.
An agency or other organization that creates an Accelsure workspace generally decides what information to enter, which people to invite, what access to assign, and how to use platform outputs. For information submitted by or for that organization, the organization may be responsible for its own privacy, employment, and data-protection obligations. Accelsure processes that information to provide and support the service.
This policy does not govern independent websites or services operated by third parties.
2. Information we collect
The information we collect depends on how you use Accelsure.
Account and profile information
We may collect:
- Name
- Email address
- Authentication and account identifiers
- Workspace role and permissions
- Agency or organization name
- Profile information you choose to provide
- Account status and preferences
Authentication is provided through third-party infrastructure. We do not store your full payment-card number. Password credentials are handled through our authentication provider and are not available to Accelsure in readable form.
Agency and workspace information
Owners and authorized users may provide information about an agency, including:
- Agency type, size, markets, lines of business, systems, and operating context
- Agency direction, priorities, decisions, goals, and challenges
- Operating standards and Playbooks
- Roles, responsibilities, expectations, and escalation practices
- Growth, profitability, continuity, hiring, and employee-development considerations
Hiring and applicant information
Users may provide:
- Job and role information
- Compensation information
- Sourcing and outreach inputs
- Resumes and employment history
- Candidate and applicant information
- Evaluation criteria, interview questions, scorecards, and interview responses
- Notes and decisions entered by authorized users
The Customer is responsible for providing required notices, obtaining required permissions, limiting access, and using this information lawfully.
Employee and development information
Accelsure may process:
- Employee names, email addresses, roles, and account status
- Invitations and identity links
- Employee Launch Plans and assigned activities
- Assigned Playbooks
- Expectations and due dates
- Check-in responses, submissions, assessments, and manager notes
- Progress and readiness information entered or generated in the service
Ari, help, and AI feature content
When you use Ari or another AI-assisted feature, we may process:
- Questions, prompts, responses, and feedback
- Relevant agency context
- Relevant approved Playbooks
- Priorities and decisions
- Foundation content
- Hiring, applicant, resume, interview, Launch Plan, and check-in information when needed for the feature being used
- Technical and safety information used to operate and protect the feature
Questions and validated answers may be stored in conversation history. Prompt-construction details, model parameters, retrieval payloads, and hidden model reasoning are not intentionally stored as user-visible conversation history.
Subscription and transaction information
We may collect:
- Selected plan and billing interval
- Licensed-user quantity
- Subscription status
- Billing and checkout identifiers
- Stripe customer, session, and subscription identifiers
- Payment status, invoice, cancellation, and renewal information
- Records showing acceptance of legal terms and billing disclosures
Payment processors collect and process payment-card and banking information under their own privacy policies. Accelsure does not receive or store complete payment-card numbers.
Communications
We collect information you send to hello@accelsure.com or otherwise provide in support, feedback, security, or account communications.
Technical and usage information
Our service and infrastructure providers may automatically process:
- IP address
- Browser and device type
- Operating system
- Request and response metadata
- Authentication and session information
- Dates and times of access
- Error, security, and diagnostic events
- Pages, routes, or features requested as necessary to operate and protect the service
Accelsure does not currently use advertising pixels, session-recording tools, or customer-behavior analytics. If we materially change these practices, we will update this policy and provide any notice or choices required by law.
3. How we collect information
We collect information:
- Directly from you
- From the agency or organization that creates or manages your workspace
- From other authorized workspace users
- From applicants or participants who submit information through an authorized invitation
- Automatically through the operation, security, and delivery of the service
- From service providers that support authentication, payment, communications, hosting, database, infrastructure, and AI functionality
4. How we use information
We use personal information to:
- Create, authenticate, administer, and secure accounts and workspaces
- Provide Agency Foundation, Priorities, Playbooks, hiring, Employee Launch Plans, expectations, check-ins, Ari, and related features
- Generate, validate, display, and store requested AI-assisted outputs
- Manage invitations, permissions, licenses, subscriptions, payments, renewals, and cancellations
- Provide support and respond to communications
- Maintain, troubleshoot, test, and improve the service
- Detect, investigate, and prevent fraud, abuse, security events, and unauthorized access
- Enforce agreements and protect Accelsure, users, and others
- Comply with law, legal process, and regulatory obligations
- Establish, exercise, or defend legal claims
We do not use personal information to make final hiring, employment, licensed insurance, legal, or financial decisions for Customers.
5. Artificial intelligence processing
Accelsure uses third-party AI infrastructure and model providers to process information submitted to AI-assisted features and generate responses or working materials. The providers and underlying models may change as we maintain and improve the service.
Depending on the feature, information sent for AI processing may include agency context, Playbook content, priorities, hiring information, resumes, applicant information, interview materials, Launch Plan information, check-in content, or a user's own question. We seek to limit information to what is relevant to the requested feature and the user's authorized scope.
AI outputs may be inaccurate, incomplete, outdated, biased, or unsuitable. Users must review outputs and remain responsible for all final decisions.
We do not intentionally use Customer Content to train a publicly available Accelsure model. Third-party providers process information under their own agreements and data-handling practices. Their infrastructure may involve subprocessors. Contact hello@accelsure.com if you need current information about material AI service providers.
Do not enter information into an AI feature unless you are authorized to provide it.
6. Employee Ari privacy
Employee Ari supports agency-grounded questions and private personal workshopping. Employee Ari conversations are private from the employee's workspace owner and manager. Database access controls prevent owners, managers, and other employees from reading those conversations through ordinary user accounts.
This does not mean the information is inaccessible to every system or person. Authorized Accelsure systems, service providers, or personnel may have limited access when reasonably necessary to operate, secure, troubleshoot, support, or comply with law.
Employee Ari conversations expire after 30 days and are removed by a daily automated deletion process. Associated messages are deleted with the conversation. Copies may remain for a limited period in secure backups or logs maintained by infrastructure providers, subject to their practices and legal obligations.
An employee's private Ari workshopping is not intended to become an employment or performance record. Employees should not use it to report emergencies, unlawful conduct, harassment, safety issues, or matters requiring action by their employer or another professional.
7. When we disclose information
We may disclose personal information:
Within an authorized workspace
Information may be available to workspace owners, employees, managers, applicants, or other participants according to their role, assignment, submission status, and product permissions. For example, an owner may view submitted check-ins and manage assigned Playbooks or Launch Plans. Employee Ari workshopping remains subject to the privacy boundary described above.
To service providers
We use providers for:
- Authentication and database services
- Hosting, content delivery, networking, and security
- Payment processing and billing
- Transactional email and communications
- AI infrastructure and model processing
- Technical diagnostics and support
Current infrastructure includes Supabase or Lovable Cloud services, Lovable infrastructure and AI gateway services, Google authentication and AI-related services where routed through our providers, Stripe payment services, Cloudflare or similar edge infrastructure, and transactional email providers. Provider roles may change. We disclose information only as reasonably necessary for the relevant service, subject to applicable agreements and obligations.
For legal, safety, and business purposes
We may disclose information when we reasonably believe it is necessary to:
- Comply with law, legal process, or enforceable government requests
- Protect rights, safety, security, and property
- Investigate fraud, abuse, or violations
- Enforce agreements
- Respond to an emergency
- Complete or evaluate a merger, financing, acquisition, reorganization, bankruptcy, sale of assets, or similar transaction, subject to appropriate confidentiality and legal requirements
We do not sell personal information for money. We do not currently share personal information for cross-context behavioral advertising or use it for targeted advertising.
8. Cookies and similar technologies
Accelsure uses essential browser storage and similar technologies to authenticate users, maintain sessions, remember necessary interface state, prevent abuse, and operate the service.
We do not currently use advertising cookies or customer-behavior analytics cookies. Browser storage used by our authentication provider may include locally stored session information. Blocking essential storage may prevent the service from working.
9. Data retention
We retain information for as long as reasonably necessary to provide and secure the service, administer accounts and subscriptions, maintain business and legal records, resolve disputes, enforce agreements, and comply with law.
Retention varies by data category:
- Employee and owner Ari conversations: Conversations expire after 30 days and are removed through a daily automated process. Associated messages are removed with them. Limited copies may remain temporarily in backups, security records, or provider systems.
- Active account and workspace information: Retained while the account or workspace is active and as reasonably necessary afterward.
- Canceled or lapsed subscriptions: Cancellation does not automatically delete workspace data. Information may be retained to support reactivation, security, dispute handling, and legal obligations until deletion is requested or Accelsure determines it is no longer reasonably necessary.
- Hiring, applicant, employee, Playbook, Foundation, Priority, Launch Plan, and check-in information: Retained as part of the workspace until deleted through an available feature, an authorized request is completed, or the workspace is deleted, subject to necessary exceptions.
- Billing, transaction, audit, security, and legal-acceptance records: May be retained after account deletion as reasonably necessary for tax, accounting, fraud prevention, security, dispute, contract, and legal purposes.
- Support and email records: Retained as reasonably necessary to resolve the matter, maintain service history, protect security, and meet legal obligations.
Deletion from active systems may not immediately remove information from backups, logs, provider systems, or records that must or may lawfully be retained. We do not promise deletion from every backup at a specific time.
10. Your choices and requests
Depending on your account and role, you may be able to:
- Update certain profile information
- Delete individual Ari conversations
- Manage employee access
- Deactivate employees
- Manage or cancel a subscription
To request access, correction, deletion, or other assistance relating to personal information, contact hello@accelsure.com. We may need to verify your identity, authority, and workspace relationship before acting. Some information may be retained or a request may be limited where permitted or required by law, including for security, fraud prevention, legal claims, billing, accounting, and contractual records.
If information was provided by or for your employer or another organization, we may direct the request to that organization or coordinate with it.
Accelsure does not currently offer a self-service export of all account information. You may request available information through support, but technical or legal limitations may apply.
11. California and other privacy rights
Depending on where you live and whether a particular law applies to Accelsure, you may have rights to request access to, correction of, or deletion of personal information; receive information about collection and disclosure; or appeal certain decisions.
Accelsure does not sell personal information for money and does not currently share personal information for cross-context behavioral advertising. We will not discriminate against you for making a privacy request where prohibited by law.
To make a request, email hello@accelsure.com. Please identify the account or workspace involved and the nature of your request. Do not send passwords, payment-card numbers, authentication codes, or unnecessary sensitive information. We may verify your identity and authority before responding.
Authorized agents may submit requests where permitted by law, subject to verification of the agent's authority and the individual involved.
12. Security
We use administrative, technical, and organizational safeguards designed to protect personal information. These may include authentication, role-based access, database security policies, encryption provided by infrastructure services, logging, testing, and restricted privileged access.
No security measure, internet transmission, storage system, or AI service is completely secure. We cannot guarantee absolute security. You are responsible for protecting credentials, managing authorized users, and notifying us promptly about suspected unauthorized access.
13. International processing
Accelsure and its providers may process information in the United States and other locations where they operate. Privacy laws and protections may differ from those in your jurisdiction. Where required, we will use appropriate mechanisms for covered transfers.
Accelsure is currently intended primarily for United States independent insurance agencies. Contact us before using the service for individuals located in a jurisdiction with requirements not addressed by your agreement or this policy.
14. Children's privacy
Accelsure is a business service and is not directed to anyone under 18. We do not knowingly collect personal information directly from children under 13 through the service. Do not create an account for, invite, or submit personal information about a minor unless you have determined that the use is lawful and expressly supported by Accelsure.

15. Third-party services and links
Accelsure may link to or depend on third-party services. Their privacy practices are governed by their own notices and agreements. We are not responsible for independent third-party practices except to the extent required by law.
16. Changes to this Privacy Policy
We may update this Privacy Policy to reflect changes in the service, providers, practices, or law. We will post the updated policy and revise the effective date. If a change is material, we will provide notice and request renewed acknowledgement when required or appropriate.
